Terms and conditions of hotel booking in Cuba

 

By sending a written booking to CubaFista you agree to accept the following terms and conditions.

Booking and payment procedures (all technical and safety details) are regulated by the law, which must be followed by both parties (Client and CubaFiesta).

 

Hotel booking procedure

Accommodations must be booked at least 8 bank days prior to departure. Only written bookings are acceptable by CubaFiesta. Other possibility is to book a room by filling in the order from on website - CubaFiesta accepts only completely filled, correct forms. In our booking system the hotel prices are informative. Final price will be sent to you in e-mail by our colleagues. We are not liable for mistakes in calculation generated by the booking system.

After processing your order you will get a copy of it with your booking ID. This copy of the order is not a confirmation, it only includes the details of the requested service, number of passengers and personal information. 

 

Payment procedure of hotel booking


After the hotel confirmed/denied the booking CubaFiesta sends you information on the status of the booking. In case of confirmation it contains the details of booking, information on payment and bank details.

Payments must be made within 7 bank days after we confirm the service(s), if not ordered otherwise. The method of payment is bank transfer. Upon payment it is essential that you make a note of the booking ID. Please note that when signing the re-confirmation you agree to pay the bank costs of both parties.

The full balance must be paid before the agreed payment date.
You agree that if the payment is not made within the agreed payment date or the full amount is not received by CubaFiesta, this might result the cancellation of your booking.

In case of price change and change of currency exchange rates CubaFiesta has the right to raise price of the service until the 20th day before Client's departure date. CubaFiesta sends written notification about the fact of it. If the raise in price exceeds the 8% of the total amount of the booking, Client can cancel the booking without penalty. Client must send a written cancellation to CubaFiesta within 3 days after receiving the notification.

 

Urgent hotel booking


All bookings made less than 14 days prior to departure are considered urgent bookings. In this case you have to pay a 50 EUR urgent booking fee on top of the booking value, that is always included in total price. Plus you have to make an immediate bank transfer choosing the urgent option. Late and incomplete payments will not be accepted by CubaFiesta and will be returned immediately. In this case you will be liable for all bank charges.

CubaFiesta might be unable to complete bookings made less than bank 7 bank days prior to departure; therefore these bookings might be rejected.

 

Invoice, hotel voucher


Before making the payment CubaFiesta will send you the invoice. When payment is completed you will also receive the voucher. The traveller(s) can only use the services listed on the voucher (that must be presented and presented at the reception of the hotel), and only the owner(s)of the voucher are entitled to the listed service(s). It is possible that the voucher includes annex that has to be presented upon check in also to receive the confirmed service.

Voucher is non-transferable, can only be used by the traveller(s) named on it. Only services of the hotel on voucher can be used. The voucher is valid for a single, continual stay and cannot be divided into multiple periods. After confirmation the date of the booking can not be modified. In case of a modification of the original date CubaFiesta can not refund the price of the cancelled/modified services. 

 

Cancellation policy of hotel booking


The cancellation fee depends on the time of the cancellation: 30 days or more before departure: 10 EUR / booking (administration fee);  29 - 10 days before departure: 50% of the total booking amount; 9 - 0 days before departure: 100% of the total booking amount. If the traveller(s) fail to turn up on the day of departure CubaFiesta will charge a 100% of the total amount.

 

Insurance

No insurance is included in prices of hotel rooms. You are liable for the cost of accidents and other damages, CubaFiesta cannot be held liable for any of these charges.

 

Travelling conditions, important information

It is your responsibility to abide by the law that regulates passports, visas, customs, currency, medical and other details. Your passport must be valid at least 6 months after your return. Should the passport expire within 6 months you are held responsible for any cost regarding this. Passports and any possible recommended vaccinations must be arranged by you.

 

Check in procedure

Earliest check in is at 14:00 pm but it may vary according to hotel’s policy.  In order to utilize any of the listed services you must present the voucher upon arrival and fill in the registration form. By signing the registration form you accept that you received the service (in the booked hotel the booked room category for the appropriate lenght and with booked meals) booked and paid at Cubafiesta. Later Cubafiesta wil be no liable for any problems connected to the service.
In the case of a lost or stolen voucher, the provider is entitled to refuse service.  Expenses incurred as a result of failing to use the voucher are your responsibility. No refund or compensation is available. Additional services, not listed on the voucher can be booked and paid at the hotel (for example: safe, additional meals, excursions, transfer etc.).
If hotel denies to provide the booked number of rooms of the appropriate category for the period written on voucher or denies to provide the meals booked earlier, you must report it to Cubafiesta in written (email, text message) on the day of check in. If you fail to do so Cubafiesta will be no liable for any future loss of yours. If you fail to report the problem beause of technical errors  neither parties are responsible, the extra costs have to be paid by you.

 

 

During your stay

 

When signing the registration form of a hotel Traveller(s) accepts to observe hotel’s policy. Breaking the rules can cause the suspension of the service, and you are also responsible for any financial or moral damage.

Problems arisen during your stay should be reported to hotel staff in time of occurrence. If the problem can not be solved on the spot, that must be taken down on the record and must be signed by somebody on behalf of the hotel. After your stay we can only arrange a refund in the recorded amount.

 

Valuables

All valuables and personal items are carried at your own risk. CubaFiesta is not responsible for these during your travel and stay at the hotel!

 

Check out procedure

Latest check out is at 12:00 am but it may vary according to hotel’s policy. In case of earlier check out no refund can apply. CubaFiesta is only responsible for payment of the services listed on the voucher(s). All additional services must be paid by traveller(s) at hotel’s reception upon check out. Stay at hotel is extendable on the spot but the extension is not guaranteed.

 

Special situations

According to the civil rights neither party are responsible in case of a strike, war and political conflict, danger to the public, disaster, terror attack, international embargo and extreme weather conditions. If any sevice fails because of any of these reasons Cubafiesta is not liable and you can not ask for any refund or compensation, all extra costs have to be paid by you.

 

Complaints

Complaints of unsatisfactory service (not the booked number or category room; for not the booked period; not the booked meals) must be reported to Cubafiesta in written (email, text message) on the day of check in. If Cubafiesta can not solve the problem either, you must prepare a written report on the problem that must be signed and stamped by hotel's representative. Report must incude the hotel's point of view also. The scanned report must be sent to Cubafiesta no later then 3 days after return of Client. Please consider that examination of your complaint can last for 3 - 6 months!

 

In case of a complaint

CubaFiesta aims to resolve all disputes directly with its clients. In the event that a resolution cannot be reached CubaFiesta agrees with the submission of the dispute to arbitration.

 

Other

Hotel categories are shown according to the local classification. In case of some hotels it can be different from regulation of your country of origin. 

Size, facilities and location of the rooms can be different even in hotels of the same category. We usually accommodate our clients in standard rooms (if not, it is marked at the hotel on our website). Rooms' division is made by the receptionists of the hotel and because of this we can not guarantee the fulfilment of your special requests, although we always send these to the hotel as a remark. 
Extra beds are usually not like normal beds and they are not as comfortable as normal beds. Size and comfort of a room wit extra bed can be different from normal rooms.
You must pay a supplement for partially or totally sea view rooms, except some hotels where no supplement is marked. In this case we can not guarantee sea view rooms but we forward your request to the hotel. 
We reserve the right the change hotel in the same category in special cases.
Cleaning of the rooms, changing of bed linen and towels are happening according to the own system of the hotel (it be done daily, every 2 days or 2-3 times during your stay).

Pictures of the hotels are only illustration and rooms can be different. CubaFiesta is not liable for complaints resultant from this reason!
